Calendars

Booked into the calendar the person already checks.

A caller wants an appointment, and the honest answer depends on whether the right person is actually free. Connecting to Microsoft 365 means the agent reads live Outlook availability rather than a static list of slots, and writes the booking to the calendar that person already uses.

Named platforms are integration targets. FutureFace Tech is not a partner of, endorsed by, or affiliated with them.

Where Microsoft 365 / Outlook fits in the conversation.

  • Booking appointments directly into a named person’s Outlook calendar
  • Rescheduling and cancelling against live availability, not a fixed slot list
  • Sending calendar invitations through a mailbox staff and customers already trust
  • Supporting internal staff workflows that already run on Outlook and Teams

How it works

Read, decide, write, trigger.

Reads

Before the agent speaks

  • Free/busy availability for the specific Outlook calendar involved
  • The existing meeting details when a caller wants to move or cancel it

Decides

During the conversation

  • Booking appointments directly into a named person’s Outlook calendar
  • Rescheduling and cancelling against live availability, not a fixed slot list
  • Sending calendar invitations through a mailbox staff and customers already trust
  • Supporting internal staff workflows that already run on Outlook and Teams

Writes

As the outcome happens

  • A new calendar event with the agreed time, location and attendee
  • An updated event when a booking is rescheduled
  • A cancelled event, with the attendee removed, when a booking is cancelled

Triggers

The moment it ends

  • The organiser’s existing Outlook reminder ahead of the appointment
  • A Teams notification to the person whose diary was booked

Security and access.

Connects through Microsoft Graph using delegated, scoped permissions limited to the specific calendars your implementation names, not full mailbox or tenant-wide access. Permissions are visible and revocable in your own Microsoft 365 admin centre.

Questions about the Microsoft 365 integration

Does this give FutureFace access to our whole mailbox?

No. Access is scoped through Microsoft Graph to the specific calendars needed for booking, not the mailbox or wider tenant.

Is Microsoft a partner of FutureFace?

Named platforms are integration targets. FutureFace Tech is not a partner of, endorsed by, or affiliated with them.

Can staff still see and manage the bookings normally in Outlook?

Yes. Bookings appear as ordinary calendar events, editable the same way as any event a colleague created.

What availability does this have today?

It is available on project, built as part of your implementation against Microsoft’s standard Graph API, not a switched-on feature today.
