Healthcare
Reception answers the phone and the patient at the desk, not one after the other.
By quarter to nine the phone is already three calls deep and there is a queue forming at the desk. Every one of those calls is someone who wants an appointment moved, a query about opening hours, or a question reception has answered a thousand times — and answering it means turning away from the person standing in front of them.
Reception is buried in appointment calls while patients wait at the desk, and the two queues compete for the same pair of hands every single morning.
Compliance boundary
Alex never gives clinical advice, triages symptoms or comments on test results. Every clinical question is escalated to the practice rather than answered, and this boundary is not configurable off.
The conversations this sector handles over and over
- Booking, moving or cancelling an appointment
- "Are you open" and "how do I get there" questions
- Repeat prescription and admin queries that do not need a clinician
- New patient registration enquiries
- Confirming what to bring to an appointment

Example conversation
A patient calls a busy GP practice at 8:47am to move a follow-up appointment
An example of how this conversation goes. Not a recording of a real customer call.
- AI employeeGood morning, Fenwick Road Surgery. You are speaking to an automated assistant. How can I help?
- CallerHiya, I have a follow-up on Thursday at ten but I cannot get out of work. Can I move it?
- AI employeeOf course. Let me check what else is available with the same doctor.
- AI employeeI have Friday at four fifteen, or the following Monday at nine thirty. Either suit?
- CallerFriday at four fifteen is better.
- AI employeeMoved to Friday at four fifteen. I will text a confirmation to this number now.
- CallerThanks. One more thing — can you tell me if my blood test results mean anything?
- AI employeeThat is something a clinician needs to talk you through rather than me. I will flag it so the practice calls you back today.

- Appointments can be moved without waiting on hold
- Anything clinical is passed to a person the same day, not guessed at
Systems it works alongside.

- SMS for confirmations and reminders
What it hands to a person.
- Any clinical question, symptom description or request for medical advice
- Complaints, safeguarding concerns or a caller in evident distress

Questions about Healthcare
Could a patient mistake this for clinical advice?
No. Alex is scoped to appointment administration and approved practice information only. Any question that strays towards symptoms, diagnosis or treatment is escalated to the practice rather than answered, every time.
Does this replace reception staff?
No. It takes the appointment-admin calls that currently compete with the patient standing at the desk, so reception can focus on the person in front of them and on the calls that genuinely need a person.
What happens with patient data?
Calls and any data captured are handled under UK GDPR, with retention and access controlled by the practice. A data processing agreement is available on request.
Can it handle out-of-hours calls differently?
Yes. Out-of-hours rules can differ from daytime rules, with anything urgent escalated according to the practice’s own definition of urgent.
