This policy explains what we do with personal information when you visit this website or get in touch with us. It is written to be read, not to be skimmed past.

Who we are

FutureFace Tech Limited is a company registered in England and Wales, company number 14062720, with its registered office at 71-75 Shelton Street, Covent Garden, London, WC2H 9JQ.

For the information described in this policy, we are the data controller. You can reach us about anything in this policy at hello@futurefacetech.com.

What this policy covers

This policy covers people who visit this website or contact us through it — prospective customers, partners and anyone making an enquiry.

It does not cover the call recordings, transcripts and customer data we process on behalf of our clients when their voice agents are running. For that we act as a processor, not a controller, and the terms are set out in the data processing agreement with each client rather than here.

What we collect

When you submit the contact form or request a demo, we collect the information you type into it: your name, your email address, and depending on the form, your organisation, sector, approximate call volume and a description of your current phone setup.

  • Technical information our hosting provider logs automatically, including your IP address, the pages you requested and your browser type

What we do not collect

We do not use analytics, advertising pixels, tag managers or third-party tracking on this website. We do not build profiles of visitors, and we do not sell or rent personal information to anyone.

Why we use it, and our lawful basis

  • To reply to your enquiry and arrange a demo — our lawful basis is legitimate interests, specifically responding to someone who has asked us to get in touch
  • To send you a confirmation that we received your enquiry — legitimate interests
  • To keep the website secure and working, using server logs — legitimate interests
  • To meet our legal and accounting obligations where a business relationship follows — legal obligation

How long we keep it

Enquiries that do not become customers are kept for two years and then deleted, so that we have context if you come back to us. Enquiries that become customers are kept for the length of the relationship and for six years afterwards, which is the period we need for tax and contractual records.

Server logs are retained by our hosting provider for a short period and then discarded automatically.

Who else sees it

We use a small number of suppliers to run this website and our email. They process information on our instructions and are not permitted to use it for their own purposes.

  • Resend (Plus Five Five, Inc) — sending and delivering the enquiry emails

Transfers outside the UK

Both suppliers listed above are based in the United States, so information you send us may be transferred outside the UK. Where that happens, the transfer is covered by the safeguards permitted under UK data protection law, including the International Data Transfer Addendum to the European Commission standard contractual clauses.

Your rights

Under UK data protection law you have rights over your personal information. To use any of them, email hello@futurefacetech.com and we will respond within one month.

  • Ask for a copy of the information we hold about you
  • Ask us to correct information that is wrong
  • Ask us to delete information we no longer need
  • Ask us to restrict how we use it
  • Object to us using it on the basis of legitimate interests
  • Ask us to transfer it to another provider in a portable format

Complaints

If you think we have handled your information badly, please tell us first — we would rather fix it. You also have the right to complain to the Information Commissioner’s Office at ico.org.uk, or by calling 0303 123 1113.

Changes to this policy

If we change this policy we will update the date at the top of the page. If the change is significant, we will say so clearly rather than quietly editing the text.
